ROLE DESCRIPTION

We are seeking a highly seasoned and organized executive assistant to co-ordinate the daily tasks and affairs of a busy Showrunner/Director/Writer. The Showrunner has an extensive and diverse slate of productions both in production and development, including two animated shows currently in production with Netflix, an adult TV drama in with Lionsgate and a number of music-based projects in development with Universal Music Group. Working alongside the Showrunner, you will be exposed to a variety of formats and will deal with high profile, industry leaders within Australia, America and the UK. The role is ideal for someone with ambition to progress in the entertainment industry due to extensive exposure to the industry in Australia and abroad as well as a variety of works which include animation, live action and stage shows. The candidate that succeeds in this role is someone who is skilled in organization and time management and has an understanding of production processes. She or he enjoys and thrives in a fast-paced, challenging environment, is comfortable adapting to ever-changing schedules and deadlines and is flexible to work outside regular business hours on occasion. The candidate will need to have strength in identifying needs, even before they arise. The Executive Assistant is required to:

• Schedule and co-ordinate the Showrunner’s diary to efficiently facilitate the needs of production, development, stakeholders, partners as well as personal matters.
• Assist the Showrunner to meet production tasks and deadlines by tracking his production workload, keeping a list of required production approvals/feedback/reviews/notes.
• Communicate daily with Producers, Post Production personnel, music producers, editors, composers, script producers, designers, animation staff and production departments regarding the Showrunner’s activities and production workload.
• Attend production meetings and provide assistance to the Executive Producer, Line Producer and Production Manager in preparing reports and updates.
• Monitor heavy email traffic and draft clear and sophisticated email responses on behalf of the Showrunner.
• Track receipts and invoices for all work-related purchases, reconcile the Showrunner’s credit card statements and issue invoices for reimbursement from production.
• Provide a high level of personal assistance to the Showrunner, including but not limited to organizing meals, booking personal appointments and travel and organizing social engagements.
• Coordinate and book travel itineraries including flights, accommodation, transfers, meals, meetings, high-profile dinners.
• Travel extensively with the Showrunner on business trips to places that include (but are not limited to) US, Canada, UK, Asia.

SELECTION CRITERIA

The successful candidate will have:

• At least 2 years experience as a Personal/Executive Assistant to executives or high-profile creatives/producers in the entertainment/media industry.
• A 'can-do' attitude, approaching both personal and production related tasks with an equal level of detail and effort.
• A calm and confident nature, with the ability to keep focused and use initiative under pressure.
• Proficient touch typing skills (100 words per minute preferable).
• A proven ability to take dictated notes, converted into clearly drafted correspondence/reports/minutes.
• The ability to multi-task and complete a wide range of duties quickly and efficiently with a confident ability to come up with solutions autonomously.
• The flexibility to travel internationally on a regular basis and work outside regular business hours on occasion.
• Clear and concise communication skills.
• Some experience tracking receipts, reconciling credit card statements and issuing invoices.
• Ambitions to progress in the entertainment/media industry.
• A valid driver’s license, a clean driving record and reliable personal transportation.
